Replying to Google Reviews for Gyms and Fitness Studios in India

TL;DR

Gym reviews are mostly about trainers, crowding and membership terms. Thank members for specifics, own the experience when terms felt unfair, and take membership details offline.

People joining a gym commit money for months. Before they walk in, they read reviews to see whether the equipment works, whether trainers pay attention and whether cancelling is a fight.

This page is for gyms, yoga and Zumba studios, CrossFit boxes and personal training studios.

What members write about

  • Trainers. Whether they track progress, correct form and show up on time.
  • Crowding. Peak hours, waiting for equipment and a packed floor.
  • Membership terms. Freeze, transfer, refund and renewal pricing. This is the source of most 1-star reviews.
  • Equipment and hygiene. Machines out of order, locker rooms, showers and towels.
  • Timings and AC. Early and late hours, and a hot floor in summer.
  • The community. Friendly regulars, or a place where beginners feel ignored.

A 5-star review

Review

"Joined three months ago. Rahul tracks my progress every week and the morning slot is never crowded."

Reply you could post

"Thank you, [Name]! Great to hear the weekly tracking is working for you. Rahul will be pleased. Keep showing up, and see you at the morning slot."

A 1-star review about membership

Review

"Took an annual membership and could not freeze it when I travelled for work. Staff just said no refund."

Reply you could post

"We are sorry this felt unfair, [Name]. Freeze and refund terms should be explained clearly when you join. Please call [phone number] so our manager can go through your membership with you."

A Hinglish 3-star review

Review

"Trainers acche hain, par peak time mein bahut bheed hoti hai."

Reply you could post

"Shukriya [Name] ji! Trainers ko pasand karne ke liye dhanyawaad. Peak time ki bheed ke baare mein hum sochte hain, aur aapko subah ya late evening ke slot batane mein khushi hogi."

Mistakes gym owners make

  • Quoting the membership terms back at the member. "As per clause 4 you agreed to this" wins the argument and loses the reader.
  • Posting attendance or payment details. "You have not visited since March" is a private matter, and a public reply is the wrong place.
  • Blaming a trainer in public. Take it as the gym. Talk to the trainer separately.
  • Ignoring equipment complaints. A broken treadmill that has been broken for months shows up in the reviews. Say what is being fixed, and then fix it.

January and the new-joiner rush

Reviews pile up in January and after any big offer, when a lot of new members join at once. Many of those reviews are first impressions, good and bad. Reply to them quickly. A new member who sees an answer within a day is much more likely to stay past the first month.

Getting more reviews from members

Ask all members at the same point, for example after their first month, and not only the ones who just hit a goal. A QR code at the reception or on the locker room mirror helps. Never offer a free month or a free session for a review. See how to ask for reviews without breaking Google's rules.

How Replykar helps gyms and fitness studios

  • Pick Casual for most gyms. Hinglish works well if your members speak it.
  • Replykar writes each reply from what the member said, and holds 1 and 2-star replies for your approval, so a membership dispute never gets an automatic answer.
  • Chains with several branches can use the Growth plan for 2 locations or the Business plan for 5.

Reply to every review, in your tone

Replykar drafts replies for your Google reviews. Start with a ₹14, 7-day trial, then pick a plan from ₹799 a month.

FAQ

How do I reply to a refund or cancellation complaint?

Do not quote the terms. Apologise that the experience felt unfair, and invite the member to call or visit so the manager can go through it with them. Keep the details out of the public reply.

Should I reply to a review about a trainer?

Yes. Thank the reviewer. If it is a complaint, take responsibility as the gym and talk to the trainer in private.

Is it okay to promote an offer in a reply?

Avoid it. A reply with a discount reads like an advert and can look like you are trying to buy a better review.

What about reviews that say the gym is too crowded?

Agree that peak hours are busy, say which times are quieter, and say what you are doing about it, such as more slots or equipment.
