Replying to Google Reviews for Restaurants and Cafes in India

TL;DR

Diners read your reviews to decide where to eat tonight. Reply to the food, the wait and the service by name, keep it warm and short, and never argue with a complaint in public.

People pick a place to eat on their phone, standing on the pavement. They check the rating, then they read the two or three newest reviews. What they find there, and whether the owner answered, often decides if they walk in.

This page is for restaurant, cafe, dhaba, bakery and cloud kitchen owners. It covers what diners actually write about, how to reply to each kind of review, and what to avoid.

What diners write about

  • Taste and quality. The dish they ordered, whether it was fresh, hot and as described.
  • Waiting time. How long it took to get a table, to order and to get the food. This is the most common complaint on busy weekends.
  • Service. Whether staff were polite, attentive and honest about the bill.
  • Hygiene. Washrooms, tables, plates and the look of the kitchen if it is open.
  • Value. Portion size against price, and surprise charges.
  • Delivery and packing. Spilled gravy, missing items and late orders. These often land on your Google profile even when the delivery app was involved.

Example replies you can adapt

A 5-star review

Review

"The filter coffee and the paneer sandwich were great. Quiet place to sit and work for a couple of hours."

Reply you could post

"Thank you, [Name]! Glad the filter coffee and the paneer sandwich hit the spot. The corner table by the window is yours whenever you want to work. See you again soon."

A 2-star review about wait and cold food

Review

"Waited 40 minutes for two dishes and the pasta was cold when it came."

Reply you could post

"We are sorry about the wait and the cold pasta, [Name]. Forty minutes is too long, and cold food should go back to the kitchen. Please message us at [phone number] with the day and time of your visit so we can look into what happened on that shift."

A Hinglish 5-star review

Review

"Khana bahut accha tha aur staff bhi helpful tha. Family ke saath aana accha laga."

Reply you could post

"Bahut shukriya [Name] ji! Aapko khana aur service pasand aayi, yeh sunkar bahut accha laga. Family ke saath phir aaiye, aapka swagat hai."

Mistakes restaurant owners make

  • Saying "we have never had this complaint." It tells the diner you did not listen, and the next reader will assume the opposite.
  • Blaming the delivery app. Acknowledge the problem, give a way to reach you, and leave the blame out.
  • Offering a free meal if they change the review. Never ask a customer to edit or remove their review. Fix problems privately, and keep that separate from the review.
  • Using the same thank-you line everywhere. "Thank you for your feedback" under a review that praised one dish reads like a machine wrote it.

Replying to hygiene complaints

A hygiene complaint can hurt more than a bad dish. Stay calm and specific. Say what you will check, for example the washroom cleaning schedule or how tables are wiped, and only promise what you will really do. Do not accuse the reviewer of making it up.

Getting more reviews at the table

The best moment to ask is when the diner has just enjoyed the meal. A small QR code on the bill folder or a table tent works well, because their phone is already in their hand. Put it on takeaway bags too. Ask every table the same way and never offer a discount in return. Our guide on getting more Google reviews the right way has seven policy-safe ways to ask.

FAQ

Should I reply to Swiggy or Zomato delivery complaints on my Google profile?

Yes, briefly. Acknowledge the problem, say how the customer can reach you, and do not blame the delivery platform. The next reader mostly wants to see that someone responds.

Which tone suits a restaurant?

Casual works for cafes, bakeries and family restaurants. Professional suits fine dining and hotels with a restaurant. Hinglish works well when your guests write in Hinglish themselves.

How fast should I reply?

Within a day is a good target, and faster for complaints. Weekends and festival days bring a lot of reviews at once, so it helps to have drafts ready.

Does Replykar post replies to bad reviews automatically?

No. Replies to 1 and 2-star reviews are held until you approve them. You can edit or skip them first.
